If you reached this page from an email about a message you sent, this is what happened to that message.
What happens when you press Send
- Your message goes to J&J Design’s form service, which runs on Amazon Web Services in Canada.
- The service checks the message (for example, that a required field isn’t empty) and turns it into an email.
- The email is sent to the business whose website you were on. When they reply, your message is usually quoted at the bottom of their reply.
Who keeps your message
The business keeps it. The email with your message lives in the business’s inbox, like any other email they receive. How long they keep it is up to them. Ask them if you want it deleted.
J&J Design does not keep a copy of a message that was delivered.
What J&J Design keeps, and for how long
A short record of each time the form is used, kept for 90 days. It holds:
- the date and time,
- which form was used and on which website,
- whether the message was delivered, and if not, the reason (for example “a required field was empty”),
- a spam-check score, only if that website’s form uses Google reCAPTCHA.
It does not hold your name, email address, phone number, anything you typed, or your internet (IP) address. We don’t keep your IP address, not even in a scrambled form.
A message that could not be delivered, kept for up to 7 days. Sometimes the email can’t be sent, for example during an outage. Then the whole message is held so we can try sending it again once the problem is fixed. It is stored encrypted, and it is deleted automatically after 7 days whether or not it was sent.
Technical logs, kept for 30 days. When something goes wrong, the service records which fields were filled in, not what you typed. An error message from the email system can sometimes include an email address. These logs are deleted automatically after 30 days.
The website you were on may keep its own standard web logs of page visits. That is separate from the form, and its own privacy policy covers it.
Expired records are removed automatically. Amazon’s clean-up can take a few days after the dates above.
Who can see what
- The business sees your whole message, in their email.
- J&J Design staff who look after the form service can see the short records above and any undelivered message while it is held. We look at them only to fix problems and stop abuse.
- Amazon Web Services hosts the service and stores this data for us in Canada.
We don’t sell this information or use it for advertising.
